ROLE

DESCRIPTION

The Senior Administration Assistant plays a key role in supporting operational and administrative functions across the business. This position is responsible for coordinating project administration, managing invoicing and documentation processes, and providing high-level administrative support to internal stakeholders. The role requires strong organisational skills, attention to detail, and the ability to work collaboratively across multiple departments.

 

EMPLOYEES ROLES & RESPONSIBILITIES

OPERATIONS • Processing Invoices for payment and regular reporting on the status of project budgets and expenditure

• Prepare and submit Client invoices and Progress claims

• Conduct weekly one on one meetings with Project Managers to review progress of projects and prepare claims

• General administrative duties as required

• Maintain the office including reporting any damage to the National Administration Manager, and ensure the office is kept tidy at all times

• Co-ordinating travel and accommodation arrangements.

• Assist with queries, requests for information, amendments and variations from consultants, subcontractors and suppliers.

• Create, collate and update Site folders

• Communicate with Subcontractors and Suppliers to obtain quotes.

• Manage and prioritise incoming administrative requests and correspondence

• Provide administrative support as requested by management

• Proactively review all invoicing before submission and raise concerns using knowledge of process prior to submission

• Perform general data entry tasks where required

FINANCIAL • Accurate and timely completion of projects within set timeframes and meeting set profitability expectations.

• Support accurate and timely invoicing to maintain project cash flow

• Make recommendations that support business growth through the improvement and enhancement of systems, processes, and procedures to drive more efficient and effective business practices

ROLE

DESCRIPTION

The Estimator ensures the timely and accurate completion of property repair assessments and scope of works for our customers with a heavy focus on KPI’s, accuracy of costings and scope, and quality customer service. The role requires a strong understanding of relevant building codes, insurance processes, and HSEQ requirements. The Estimator engages and coordinates specialist trades when necessary and integrates their findings into comprehensive reports for insurers. Risk identification and planning support for high-risk activities form a core part of the role, ensuring works meet legislative and safety standards. Internally, the Estimator maintains accurate records across all business platforms and upholds clear, professional communication with customers, insurers, and colleagues to manage expectations and support efficient claim progression. The Estimator is also expected to contribute to continuous improvement initiatives, provide technical support to internal teams, and complete tasks aligned with business needs. Flexibility for overtime and travel may be required during surge events or major incidents.

• Identify high-risk work as part of assessments and support HSEQ planning and assurance activities.

• Engage appropriate specialist trades for complex or technical assessments, reviewing and incorporating findings into reports as required.

• Ensure all estimations comply with relevant legislation, codes, and HSEQ standards.

• Communicate effectively with customers, insurers, and other stakeholders, clearly outlining the insurance and repair process.

• Manage stakeholder expectations throughout the estimation process through timely and professional communication.
