THE ROLE

With the business expanding year on year and the current incumbent promoted, we’re on the hunt for a sharp, experienced Administrative Coordinator to keep the Western office running like clockwork.
No two days look the same—and that’s exactly how you like it.
You’ll own your day, juggling priorities, making quick calls, and keeping projects on track while coordinating schedules for major clients.

From fielding calls to managing queries, variations, and escalations, you’ll coordinate seamlessly across teams to keep everything moving.
Further responsibilities will include;
- Be the first point of contact for consultants, subcontractors, suppliers you’ll keep communication flowing and priorities in check.
- Prepare and submit Client invoices and Progress claims
- Processing invoices for payment
- Proactively review all invoicing before submission
- Create, collate and update Site folders
- Conduct weekly one on one meetings with Project Managers to review progress of projects and prepare claims
- Regular reporting on status and stages of project budgets and expenditure
- Maintain the office
- Report and consult to the National Administration Manager,
- Co-ordinate travel and accommodation arrangements.
- Diary management
- Assist with queries, requests for information, amendments and variations
- Communicate with Subcontractors and Suppliers to obtain quotes.
- Manage and prioritise incoming administrative requests and correspondence
- Perform general database entry tasks ensuring data is accurate and live for each project
THE ESSENTIALS
- Able to be proactive, forward thinking in a timeline drive environment.
- Two years in an administrative, scheduling, or coordinating role.
- Have superior administrative skills
- Advanced Microsoft skills
- Able to be multi-skilled in a role, where no day is the same
- Basic understanding of transactional accounts
- Strong written and verbal communication.
- A person with a can-do attitude, who thrives on variety
